The Role:

This is a key position, based in Porto and reporting to the Cluster Manager / Cluster Lead, with specific responsibility for managing our Workspace Management function in the Blip Office, Porto.

This position will be responsible for implementing Workspace processes and procedures to ensure best practices are executed to meet the needs of a dynamic and fast paced organisation.

This person will manage the operational budget of the workspace teams across their responsible site to ensure that we operate effectively delivering services within budget and all suppliers are managed effectively through robust governance.

They will continually strive to improve the services across the business with the ambition to deliver world class services. We want to deliver a workspace that engage our internal customers allowing them to be more effective. The successful candidate will have a good of understanding of workplace trends both current and future.

What You’ll Be Doing:

Process / Procedures:

  • Stakeholder and Key Stakeholder engagements in the location to ensure that the services provided by Workspace are suitable and deliver what the business needs to operate.
  • Development and implementation of facilities and workspace policies in line with the global workspace group, with the principle of simplification.
  • Assist the Cluster Manager / Cluster Lead with preparation and management of workspace operating and capital expenditure budgets.
  • Performance manage, develop, train and ensure efficient utilisation of our local team and partners (FOH) through robust governance and reporting.
  • Ensure delivery of FM programmes including preventative and reactive maintenance, life-cycle requirements and service level agreements.
  • Implement and manages H&S procedures working with the HSQA team to deliver a healthy and safe working environment.
  • Work with the Business Continuity team to ensure that we can effectively manage any event that may disrupt our core business activities.
  • Ensure ethical business practices are in place for all workspace team members and suppliers.
  • Development and implementation of workspace initiatives which promote a positive working environment and employee wellbeing.
  • Development and implementation of cost-reduction and cost-effectiveness initiatives
  • Negotiation and management of services contracts to ensure that economies of scale are achieved reducing the overall cost of facilities management to the core business and ensuring that a consistent, quality service is provided across the group by our service providers.
  • Manage contractor and vendor relationships and coordinate/monitor Suppliers activities
  • Conduct and document regular workspace inspections.
  • Plan and manage all workspace services including reception, security, cleaning, catering, waste disposal and parking.
  • Support local events from facilities and catering point of view
  • Plan and coordinate intra-office moves and allocate and manage space for maximum efficiency
  • Ad-hoc office duties

Innovation:

  • Provide input for the development of improvement solutions
  • Further develop operating standards, processes, and procedures for site
  • Actively identify/implement innovation across the sites to enhance performance and grow the team’s knowledge.

Operational Excellence:

  • Support as required during site audits and inspections internally and from the wider business / externally
  • Continually communicate high priority tasks issues to end users using the appropriate communication channel
  • Assist and enhance service delivery through best practice and the effective use of site systems and equipment.
  • Be the local point of contact for Minor Works and Projects, ensuring applicable Change processes are followed
  • Produce reports as required by the Cluster Manager and wider business, including financial and operational reporting on a regular basis
  • Implementation of Workspace policies in line with the global workspace group, with the principle of simplification.

People:

  • Manage the site Training Matrices
  • Culture carrier and promotes best practice.
  • Line Management of Porto Workspace team ensure succession planning, development and improvement initiatives are completed
  • Working closely with wider CRE functions including Risk & Compliance and Physical Security

Finance and Commercial:

  • Build and develop relationships with key business and account stakeholders.
  • Manage the local budget and report to the Cluster Manager

Building relationships:

  • Understand, anticipate and deliver customer needs while building effective relationships whilst optimizing contract performance.
  • Positively respond to both our internal and external customers (often in a matrix environment) through effective communication and personal accessibility/credibility.
