Talent Acquisition Operations Specialist

The Role…

The Talent Acquisition Operations Specialist will play a key and critical role in supporting Talent Acquisition activities across our divisional teams with a focus on scheduling and coordination for our Technology and corporate area. The ideal candidate is highly organised and a proactive problem solver who is passionate about delivering a first-class recruitment experience for candidates and internal teams.

You will be building relationships with both internal and external stakeholders, acting as the first point of contact for recruitment enquiries queries and support with the overall organisation, quality and pace of the recruitment lifecycle. It is expected to provide a five-star candidate experience, as well as constantly striving to improve our processes for candidates and ensure proper training sessions – content preparation and delivery - and inductions to hiring managers alike.

What You'll be Doing...

  • Support with ad hoc recruitment projects and initiatives, including events, careers fairs and open days.
  • Ensure that the operational recruitment process continues to run smoothly and effectively and introduce improvements as deemed necessary.
  • Speaking with candidates who are shortlisted and arranging/scheduling interviews with the hiring manager, ensuring interviews are booked in diaries with confirmation emails to both the Talent Acquisition team and the candidates.
  • Take ownership for pre-employment onboarding, references, contracts, background checks, visa and relocation assistance.
  • Assist broader HR and Talent team with creating accurate and meaningful recruiting metrics. As well as ensure that the recruitment databases are updated, accurate and maintained on an ongoing basis.
  • Knowledge and experience of full cycle recruitment to be able to proactively identify operational and process pain points in order to develop strategies and action plans to mitigate and avoid manual work in terms of interview scheduling.
  • Third Party supplier management.
  • Carrying out a range of administration tasks around the recruitment process and hiring projects and supporting the team in their day-to-day role.
  • Managing high volumes of work. You will have high volumes of interviews and tests to schedule. It is important you can align multiple calendars and keep everyone involved happy and updated.
  • Ensure all administration for the recruitment team is completed on a timely, accurate and consistent basis.
  • Assisting with Ad hoc requests as they arise.
  • Stakeholder management is crucial, you’ll build and maintain critical relationships with the business to ensure that the hiring operations run with the high pace and quality that is expected.
  • Ownership for the TA inductions to the business and manage A to Z of the interviewing pools to ensure all the business areas follow the same process and structure.
  • Sourcing and hiring associate profiles, when needed.

We hope you have…

  • Experience (1-2) years in recruitment environment.
  • Being a connector of people. You will need to be able to provide excellent customer service to candidates and managers. Ability to effectively communicate with individuals at all levels.
  • Fluent in English and Portuguese is preferred.
  • Proven track-record on automating tasks and motivation towards implementing process improvements. We’re a team obsessed with doing better every time, this often means new reports, new duties and new opportunities to learn.
  • Being adaptable is very important in this role. As an organisation no two days are the same and this requires someone who can take on new challenges head on and be excited by the variety a role like this brings.
  • Experience working in an administration high volume Talent Acquisition environment is preferred.
  • Strong MS office skills particularly in Outlook, Power Point, Excel, and Word.
  • Experience of working with various departments and management levels across the business.
  • Diary management and meeting scheduling experience essential.
  • Team player who thrives in a fast-paced, dynamic environment.
  • Exceptional organisational and interpersonal skills and an extraordinary attention to detail skills with the ability to prioritise effectively and work to targets.
  • Ability to project manage and prioritise multiple projects simultaneously.
  • Self-starter who can take initiative and power through ambiguity.
  • Experience using Workday is preferred.
